Guide for In-person Speakers and Poster Presenters
Thank you for presenting your work at NAM2022 in-person. Without your contribution we wouldn’t have a conference, let alone one with such an exciting science programme.
We have put together this guide to provide some information about the practicalities of giving your talk or presenting your poster during the conference.

Talks
We will be using shared laptops for all parallel sessions - using your own laptop will not be allowed. This is to facilitate the hybrid aspects of the conference and minimise disruption between talks, improving the experience for all attendees.
All presentations MUST be uploaded to the shared laptops in advance of the session. You can do this by:
- Bringing your talk on a USB stick for upload.
- Uploading your talk to the appropriate folder here:
Talk uploads (ordered by Parallel Session abbreviation, then by individual session)
- Sending your presentation to the LOC via email or WeTransfer (or similar)
If you are speaking in the first parallel sessions on the morning of Monday 11th July, please provide your talk in advance using the 2nd or 3rd methods.
Please name your file <surname>_<session abbreviation>_<talk title>
We are able to accept presentations in PDF, Powerpoint, or Google Slides formats. The aspect ratio used by the projectors is 16:9, so widescreen content can be displayed; 4:3 ratio can also be displayed but will not fill the screens.
Talk durations have been sent out by session conveners, and will appear on the detailed schedule.
If possible, please arrive early for the session in which you are presenting to ensure that everything is ready for your talk.
You must use the microphone while giving your talk and answering questions, no matter how loud you think your voice is! This is very important for those attending remotely, as well as for people attending in-person who may have hearing difficulties.
Please do not acknowledge any Russian funding sources in your presentation.

Please note that the streaming software used by ReAttendance is not able to support automatic closed captions. If you wish to caption your talk, you will have to do so locally.
Recordings
All plenary and parallel sessions, and all talks within those sessions, are recorded as standard practice and will be available for attendees to watch back after the conference.
If you would like your talk to be removed from the recording, please inform your session organiser and the LOC.
Posters
The poster hall is the Mead Gallery in Warwick Arts Centre. You will be able to put up your poster during the drinks reception on the evening of Sunday 10th July (18:30 to 20:30), or from 08:00 on Monday 11th July, and posters will stay up for the duration of the conference.
Our poster boards are in portrait orientation. They accept up to A0 portrait, or A1 landscape posters.
Posters will be grouped by session. Each poster has been allocated a number - please check your poster number in this list (Note that this is different to your abstract ID). Poster boards will be labelled with the poster numbers; please hang your poster on the assigned board.
Please take your poster with you at the end of the week; all posters must be removed by 17:00 on Friday 15th July. If you are leaving before the poster session on Thursday, please leave your poster on display - the LOC will then dispose of it for you.
Please do not acknowledge any Russian funding sources on your poster. If you do, your poster will be removed.
Poster sessions:
We have two dedicated poster sessions scheduled this year. There are no plenaries or parallel sessions coinciding with these sessions, so all in-person attendees are encouraged to attend and discuss the work being presented.
The sessions are on Tuesday 12th July from 12:15 to 13:00, and then on Thursday 14th July from 16:00 to 18:00.
Virtual posters
As well as a physical poster, we encourage you to provide a virtual poster for inclusion in the poster gallery on the ReAttendance platform.
Virtual posters should be in PDF format, with a maximum filesize of 5MB.
If you wish to provide a video instead of a static poster, it should be in MP4 format with a maximum filesize of 5MB.
Please submit your online poster to the LOC before Wednesday 6th July so that it can be uploaded to the ReAttendance platform. You may do this by:
- Sending your poster to the LOC by email or WeTransfer (or similar)
Please name your file <surname>_<session abbreviation>_<poster number>

ReAttendance platform
All in-person attendees have full access to the ReAttendance online platform. You should have received an invitation from ReAttendance containing your personalised link to join the platform; if you have not received this email, please contact the LOC and we will investigate.
